Audience research
Part of Why SAAS marketing audience research pays off before you spend
What a survey tool choice means for SAAS audience data
SAAS marketing survey tools compared by data ownership, panel quality and consent duties, with a decision table for UK software teams running audience research.
What to take away
- Your survey tool choice settles where audience data lives, who can read it and how long you keep it.
- Cint, Dynata and Prolific bring speed and quota control, but the panel owns the consent record.
- Typeform, SmartSurvey and self-hosted LimeSurvey hand you raw responses and the consent wording.
- Google Analytics 4 no longer accepts custom definitions for everything you once tracked, so plan survey tagging around its current event model.
- Budget for the tool and the recruitment separately. Different line items, different risk.
Why the tool decision is now a data decision
Consent records sit with whoever collects the response
A survey tool is a data processor. Your firm is the controller for anything you decide to collect and keep. That split matters when a respondent asks what you hold about them.
Controller vs processor duties
Your firm (controller)
- Decides what to collect
- Yes
- Records consent wording
- Must evidence
- Answers subject requests
- Accountable
- Sets retention period
- Your policy
- Recruitment copy sign-off
- Your reviewers
Survey tool (processor)
- Decides what to collect
- No
- Records consent wording
- May not show
- Answers subject requests
- Supports only
- Sets retention period
- Tool setting
- Recruitment copy sign-off
- Not covered
The Information Commissioner's Office publishes a direct marketing checklist covering how consent, purpose and retention should be recorded for campaigns. Survey invitations sent to a purchased list fall inside that guidance. A tool that cannot show when consent was given, and for what, leaves a risk you cannot evidence.
Advertising rules apply to how you recruit respondents
The Advertising Standards Authority's AdviceOnline library for marketers covers promotional claims, including incentives offered for research participation. A voucher draw or a report download is a marketing communication. Say what the respondent gets, when, and on what terms.
The audience research guide for England sets out how to scope an audience study before any tool is chosen. Keep recruitment copy with the same people who sign off campaign copy.
Survey tools compared on ownership, panel and consent
Survey tools compared
Consent and data ownership
- Qualtrics (enterprise research suite)
- Consent fields, retention rules and audit logs built in
- SurveyMonkey and Typeform (form builders)
- The form holds the wording; free tiers keep no versioned consent record
- SmartSurvey (UK survey tool)
- Responses stay in UK data centres
- LimeSurvey (open source)
- Self-hosted, so you hold the database and the deletion rule
- Prolific, Cint and Dynata (panels)
- Provider terms cover participant consent
Typical cost, plan or limit
- Qualtrics (enterprise research suite)
- Quoted per year, typically five figures
- SurveyMonkey and Typeform (form builders)
- Free tiers: 10 questions and 40 responses, or 10 responses a month. Paid plans from around £25 a month
- SmartSurvey (UK survey tool)
- Typically £30 to £100 a month
- LimeSurvey (open source)
- Community Edition free, paid cloud hosting
- Prolific, Cint and Dynata (panels)
- Prolific around £9 an hour; Cint and Dynata £3 to £15 per complete for hard B2B targets
Panel tools: the consent is borrowed
Cint, Dynata and Prolific recruit from their own pools, so you get quota control and fieldwork measured in days. A team needing 200 responses from IT managers in financial services might get them in a week.
Panel vs self-hosted tools
Panel provider
- Sample speed
- Days
- Consent wording
- Provider terms
- Raw response table
- Not yours
- Re-contact
- Awkward
- Retention control
- Limited
- CRM or warehouse join
- Hard
Form or self-hosted
- Sample speed
- Weeks
- Consent wording
- Your checkbox
- Raw response table
- Exported
- Re-contact
- Possible
- Retention control
- Auto-delete
- CRM or warehouse join
- Direct
You never see the consent wording each panellist agreed to, only the provider's terms. That suits anonymous benchmarking. It gets awkward when you re-contact respondents or match them to CRM records.
Form and self-hosted tools: auditable, but slower
Typeform, SmartSurvey or self-hosted LimeSurvey gives you the raw response table, the timestamp and the consent checkbox wording. You can export it and join it to product usage.
You also control retention: automatic deletion after a stated period becomes part of your record-keeping policy, not a promise in a privacy notice. The competitor research in England walkthrough shows how to fold survey findings into a competitor view without duplicating collection.
Measurement handover is where tools differ
Survey platforms differ in what they pass to your analytics. Some push completion events with a respondent identifier, others push only a count. Check the event schema before you tie survey answers to on-site behaviour.
The Google Analytics reference documentation lists the current APIs and measurement endpoints. Confirm what your implementation accepts there before you promise stakeholders a joined-up dataset.
Decision table

- 200+ responses in under two weeks
- Cint or Dynata with quota controls
- Re-contacting respondents later
- Self-hosted LimeSurvey or SmartSurvey, with your own wording
- Regulated sector, strict retention policy
- Qualtrics or LimeSurvey with auto-deletion
- Small qualitative study, 15 to 30 people
- Typeform or Google Forms plus manual screening
- Joining answers to product usage
- A tool with documented event export
- Testing a new message before launch
- Cheap form tool, short field window
Avoid
- 200+ responses in under two weeks
- Building a list from scratch
- Re-contacting respondents later
- Anonymous panel sample
- Regulated sector, strict retention policy
- Indefinite storage by default
- Small qualitative study, 15 to 30 people
- Enterprise panel contracts
- Joining answers to product usage
- Aggregate-only reporting
- Testing a new message before launch

Common questions
Can I use a panel tool and still meet UK data protection duties?
Yes, if the contract sets out the lawful basis, the retention period and what happens to responses afterwards. Read the processor terms before you sign.
Do I need consent to send a survey to existing customers?
Not always. Legitimate interests can cover research into a service they already use, but you still need a clear opt-out and a retention period.
How many responses make a survey worth running?
It depends on the decision. For message preference, 50 to 100 responses from the right segment often beat 500 from a loose one.
Should the survey tool and the CRM be connected?
Only if you can justify the join and tell respondents. Connecting them without a clear purpose creates a record you must maintain and delete.
